A. NOMINATIONS

 

1. Judged Categories – including all the genre categories

 

Q: Who can nominate a book?

A: Anyone can nominate a book, including publishers, authors and readers.

 

Q: When is the nomination deadline?

A: We have instituted a tiered deadline based on publication date of the book:

 

 

Q: Someone nominated my book. What do I do next?
A: Congratulations! Please check that the title and author name are correct, otherwise check the GCLS website when finalists are posted and at the Awards Ceremony when the winners are announced.

Q: My book was published in December 2016, but wasn't nominated last year, can I enter it this year?
A: Unfortunately no, only books first published during 2017 are eligible.

Q: My book was originally published many years ago by another publisher, I have made changes to 50% of the book, can I enter it this year?
A: No, re-releases or reprints of a previously published book is not eligible.

Q: My book was originally published by Publisher A, and now it is published by Publisher B, is it eligible?
A: The edition published by Publisher A, provided it meets all the other criteria including publication date, is eligible.

Q: Are self-published books eligible?
A: Yes, we welcome nominations of self-published books.

Q: My book is only published as an ebook, is it eligible?
A: Yes, provided it meets all the other criteria including publication date and award category guidelines.

Q: There are more than one author, are we all eligible?
A: The book itself is the nominated entity. If it wins, then all the authors (listed on the cover page) are eligible for an award. In the anthology/collection categories, the award is given to the editor(s).

Q: My book has a lesbian character, but it's not about her sexuality.
A: The book must meet ONE of the criteria for lesbian content: i) the main character identifies as a lesbian; ii) the main character is in or ends up in a lesbian relationship; iii) the theme or plot deals with lesbian issues and/or lesbian life

Q: Do you accept novellas?
A: There are no wordcount requirements for anthologies, creative non-fiction and poetry. In the Fiction categories, the minimum wordcount is 40,000 words. There is no maximum wordcount requirement. Bear in mind that all books, regardless of length, will be evaluated against defined criteria for that genre.

2. Judged Categories – Debut Novel specific

Q: I am a new author who co-wrote a book with another author who Is already published, am I eligible for the Debut Novel award?
A: Since the novel is the nominated entity, ALL co-writers must be first time authors in order for it to be eligible in the Debut Novel category.

Q: I had a short story of 10,000 words published in an anthology, but my first novel was published this year, am I eligible for the Debut Novel award?
A: Yes, the novel is eligible for Debut Novel.

3. Popular Choice and Other Awards

Q: What are the Popular Choice awards?
A: There are two: Ann Bannon Popular Choice Award and Tee Corinne Award for Outstanding Cover Design.

Q: What are the other Awards?
A: There are three: GCLS Trailblazer Award, Lee Lynch Classic Award, and the GCLS Directors’ Award.

Q: Who can nominate for these awards?
A: Anyone can nominate for these awards.

Q: When is the nomination deadline?
A: All nominations for Popular Choice and other awards must be received by December 31, 2017.

Q: What do I have to send for the Ann Bannon Popular Choice Award?
A: You do not have to include a book/ebook, please include a high resolution jpg image of the cover.

Q: What do I have to send for the Tee Corinne Award for Outstanding Cover Design?
A: Please include a high resolution jpg image of the front cover, back cover and spine.

4. Nominations Process

Q: How do I submit nominations?
A: Nominations is done via our online system.

Q: Can I have more than one book nominated?
A: Yes, provided they meet all the other criteria including publication date and award category guidelines.

Q: Can I have more than one book nominated in one category?
A: Yes, provided they meet all the other criteria including publication date and award category guidelines.

Q: Can I nominate my book in more than one category?
A: A book may only be nominated in one genre category, however if it is your Debut Novel it may also be nominated for the Debut Novel Award. A book may also be nominated in a genre category plus the Ann Bannon Popular Choice Award as well as the Tee Corinne Award for Outstanding Art.

Q: I'm not sure which category to place a nominated book.
A: Please refer to the award category descriptions and guidelines. If you have further questions please contact the Awards Administrators at awards@goldencrown.org.

Q: Why have you put my book in this category?
A: The person nominating a book is responsible for selecting an appropriate category. If you feel that it is in the wrong category, please contact the Awards Administrators at awards@goldencrown.org.

Q: I made a mistake in my nomination form.
A: During the nominations window, you can go back and make changes to the form. If you have further questions please contact the Awards Administrators at awards@goldencrown.org.

Q: My book is a collection of short stories, they go in anthology/collections, right?
A: Yes, unless it is a collection of erotica, in which case they belong in Erotica. This is the only category with both full-length books and short stories.

Q: How much is a nomination?
A: The cost of each nomination in a judged category is US$35.00 per physical book and US$30.00 per eBook. The cost to nominate in the Ann Bannon and Tee Corinne categories is US$15 per entry.

Q: How do I pay?
A: You can make payment using PayPal Express, Credit Card, or by sending a Check/Money Order/Cashier's Check.

If your payment is more than $100, we request that you send payment via Check/Money Order/Cashier's Check. If you need to arrange another method of payment, please contact: the Awards Administrators at awards@goldencrown.org.

Q: Why Check/Money Order/Cashier's Check?
A: This saves the GCLS a significant amount on fees from PayPal and our credit card processor.

Q: Do I have to pay per book?
A: If you are nominating multiple books, or one book in more than one category, the system will calculate nomination fees for you and provide you with an invoice for the total amount.

Q: What if a book is nominated by more than one person?
A: In the situation where more than one entity nominates the same book, the administrative fee will not be returned or prorated, but will be retained by the GCLS and allocated toward defraying administrative costs.

Q: Do I have to send both eBooks and physical books?
A: You don't have to submit both. Please provide EITHER eBooks OR physical books.

Q: I can submit eBooks?
A: Yes, we highly recommend submitting eBooks.

Q: Why?
A: It saves the nominator fees (US$30 vs 35) as well as the cost of shipping 5 books to the Awards Administrators. In addition, the GCLS saves on shipping costs to send books to judges, some of whom are based outside the US.

Q: Which eBook formats are required?
A: We require eBooks in three formats: .epub, .mobi/.prc, .pdf. This will cover all the eReading devices used by judges.

Q: What are the other eBook requirements?
A: The eBook files must be DRM-free so the judges can upload to their eReader. This should be a clean, final product, as sold to customers--formatting and layout are judging criteria.

Q: I don't know how to convert ebooks, can I send one format and you convert for me?
A: Unfortunately no, the GCLS and Awards Administrators cannot be involved in any part of the production process for a book, due to potential conflict of interest. There are software and individuals/companies that can convert eBooks, please feel free to reach out to others who have published eBooks for help and advice.

Q: Can I still send physical books?
A: Yes of course. Please adhere to all deadlines and guidelines and send the books to the Awards Administrators at the address indicated.

Q: How many physical books do I have to send?
A: Please send FIVE books per category nominated. For instance if the book is nominated for both a genre category and Debut Novel, please send TEN books since there are five judges per category and each judge has to have their own copy. No books need to be sent for Ann Bannon Popular Choice or Tee Corinne Award for Outstanding Cover Design awards.

Q: What else do I need to include when nominating a book?
A: Please also upload the cover image, this will be used at the Awards Ceremony if your book is a finalist.

Q: Why are you asking for a link to buy the book?
A: We received feedback that this will be useful. Please provide any link where you want members to buy your book.

Q: Why am I getting all these emails about books being nominated?
A: The confirmation email goes to the nominator, author and publisher. In the past, some authors and/or publishers weren't aware that a book has been nominated, so we want to make sure everyone involved knows about it.

Q: I completed the nomination form, why isn't my book showing on the GCLS website?
A: The GCLS website is updated manually by volunteers and not daily. It may take a few days before your nominated book is included, please be patient.

B. JUDGES

Q: Who can be a judge?.
A: Anyone can apply to be a judge, judges must read and agree to the Process, Rulles and Regulations. The only exception is that Publishers and employees of publishers are prohibited from applying.

Q: Do I have to go to training?
A: Yes, training (live or video) is mandatory.

Q: Why can't I tell people I'm a judge?
A: To preserve confidentiality and objectivity. You may disclose you were a judge AFTER the awards ceremony.

Q: Why are you telling people I’m a judge?
A: We will list judges in alphabetical order after the awards ceremony. You have the option to opt-out of this listing.

Q: When do I have to start reading?
A: After you have completed training, you will have access to books as soon as they are approved for nomination. EBooks will be available straightaway, physical books will be shipped to you once received.

Q: I have a business trips in November, a work deadline in December and vacation in March.
A: You are free to manage your own reading schedule, however we suggest that you start reading as soon as you are given access to your reading list.  This will allow you to complete your reading assignments in a timely fashion and will not put you up against the deadline of 15-April-2018.

Q: I don't like one of the books in my category, do I have to finish it?
A: Yes, it is your commitment as a judge to read all books in your category completely. Please score the book accordingly.

Q: Should I read all books before entering the scores?
A: You should score the books as you read them as they are to be scored individually.  They should not be scored against each other.  

Q: I can't find my books in the system.
A: Please contact the Awards Administrators at awards@goldencrown.org to check your access.

Q: I don't know how to answer the questions on the evaluation forms.
A: Please refer to the training materials provided during training. For specific questions, please contact the Awards Administrators at awards@goldencrown.org.

Q: Why are some books in physical format and some in eBooks?
A: The person nominating the books has the choice between submitting eBooks or physical format books.  A lot of time it’s based on costs and shipping and ease of getting eBooks to the judges.

Q: I can’t open this eBook file.
A: Please contact the Awards Administrators at awards@goldencrown.org. We will contact the nominator to obtain a working copy.

Q: The formatting of this eBook is so poor that I can’t read it.
A: Please contact the Awards Administrators at awards@goldencrown.org. We will contact the nominator to obtain a working copy.

Q: I have a Kindle, will it work?
A: Yes, eBooks will be in .mobi format, which is readable by a Kindle.

Q: I have an iPhone or an iPad, will it work?
A: Yes, eBooks will be in .epub format, which can be used in iBooks.

Q. I like to read on my computer, will it work?
A: Yes, you can download the .pdf version of the book and read it easily on your computer.

Q: How do I get eBooks onto my device?
A: We have attached some instructions on how to add eBooks to eReaders.
Adding eBooks

Q: I don't want eBooks, I prefer the feel of physical books.
A: Many nominations are in eBook format. This saves the nominators and the GCLS a lot of shipment costs. It is one of the requirements as a judge that you are able to read eBooks.

Q: Why have you sent me a gift of an eBook from Amazon?
A: We found that it is sometimes more cost effective to send eBook gifts to a judge rather than ship physical books. The gift is for you to buy the book(s) in your reading assignment list.

Q: I get to keep the books? Free of charge?
A: Yes, however you are prohibited from copying, selling, or sharing the books online.

Q: I moved, what about books still to be mailed?
A: Please contact the Awards Administrators at awards@goldencrown.org as soon as possible to work out new arrangements

Q: I found out that I was a beta reader for one of the books in my category.
A: Please contact the Awards Administrators at awards@goldencrown.org as soon as possible.

Q: One of my own books was nominated!
A: You may not judge books in the category your book was nominated, however you may continue to judge in another category. Please contact the Awards Administrators at awards@goldencrown.org if you have been assigned to a category where your book was nominated.

Q: I can't be a judge anymore, I'm too busy.
A: Once the judging process has begun, judges may not withdraw except in an emergency situation that has been discussed with the Awards Administrators, or if an unexpected conflict of interest occurs.

Q: I was a judge this year, do I get a discount for the conference?
A: Unfortunately, no.

Q: I was a judge this year, do I get to be an awards presenter?
A: The process for selecting awards presenters is different from the judging process.

C. RESULTS

Q: How, in general terms, are nominations judged?
A: Each category will have 3-5 judges who will evaluate each book based on criteria set out in a comprehensive evaluation form. Criteria include format, layout, narrative, setting, dialogue, characters, voice, lesbian content.

Q: How are finalists and winners determined?
A: At the end of the judging process, judges' scores are tallied. Finalists and winners are determined based on the scores. As of the 2018 awards cycle, the 25%-10% rule will be used:

- 25% of eligible nominations will be finalists
- 10%
of eligible nominations will be winners

Q: Who picks the winners of the speciality awards?
A: Popular Choice awards are voted on by the GCLS membership; the Trailblazer and Lee Lynch Classic awards are voted on by past Trailblazers and the Director's' Award is determined by the GCLS Board of Directors.

Q: When are finalists announced?
A: Finalists will be posted on the GCLS website in May 2018 as the scores are finalized by the Awards Administrators.

Q: When are winners announced?
A: Winners are announced during the Awards Ceremony at the GCLS Annual Conference. For this award year, the conference will be held in Las Vegas.

Q: Why aren't there any winners in my category?
A: If fewer than 6 books are nominated in one category, the category will be consolidated with another category to the extent possible; or eliminated for the current awards year.

Q: Who judged my book?
A: There is strict confidentiality within the judging process. It is prohibited for judges to discuss their involvement as a judge and to reveal the names of judges in any category. The names of judges will be listed in alphabetical order at the end of the Awards Ceremmony.

Q: I have a complaint about the judging process.
A: The judges’ decisions are final. Neither the Awards Administrators nor the Board will entertain objections or challenges with regard to the judging or the judging process.

D. SYSTEM

Q: Why do I have to create a new username and password?
A: The Awards system is a different system to the GCLS membership system; you will need to create credentials specifically for the Awards system.

Q: I can't log in.
A: If you have tried the 'lost password' link and still unable to log in, please contact the Awards Administrators at awards@goldencrown.org to reset your credentials.

Q: My email address has changed.
A: You can change your personal details in your profile in the awards system. If you encounter any problems, please contact the Awards Administrators at awards@goldencrown.org.
